CASE STUDY · DATA-CAPTURE METHOD

Capture now. Reconcile later. Structure once.

Conversational capture → QC → curated Airtable Journal.

Fast capture and durable structure are deliberately separated. In the original workflow, observations entered a dedicated ChatGPT Raw Log with minimal interruption. Since November 2026, capture and coaching can also share a weekly conversation; reconciliation into durable records remains separate. A later QC pass reconciles the sequence into structured long-term memory.

1 · Capture

Log the event while it is still easy to remember, without forcing structured form entry.

2 · Preserve

Keep exact quantities, times and source-dependent details when they would otherwise become irrecoverable.

3 · Reconcile

A reconciliation pass checks missing records, duplicates, timestamps, corrections and uncertainty.

4 · Store

The final Airtable Journal remains understandable without reopening the original chat.

WHY IT MATTERS

Logging quality depends on friction as much as schema.

Writing every event directly into a database sounds cleaner, but repeated connector calls introduce latency, failures and interruption. Separating ingestion from curation improved usability while creating an explicit quality-control layer.

The architecture treats missingness and reconciliation errors as observable system behavior, not invisible housekeeping.
